Community Initiative HAPpy Camps Terms & Conditions

1. Attendance Policy

  • If your child cannot attend a scheduled camp session, you must inform us in advance by phone, text, or email.
  • Non-attendance without notice will result in us attempting to contact you by phone.
  • If we are unable to reach you after reasonable attempts and 2 no shows at camps, your child’s place in the camp will be removed and offered to other participants on our waiting list.

2. Behaviour & Conduct

Our camps are designed to be fun, inclusive, and safe for all children. To maintain a positive environment:

  • All children are expected to treat other campers, staff, and property with respect.
  • Disruptive, unsafe, or disrespectful behaviour will not be tolerated.
  • Three-Strike Rule:
    • First Strike: The behaviour will be addressed with the child, and time out to reflect on behaviour.
    • Second Strike: The behaviour will be addressed again with the child and asked if they want to stay at camps – not enjoying / unhappy with a short time out and that they understand a repeat and they will need to be collected.
    • Third Strike: Parents/guardians will be contacted and asked to collect the child immediately.

3. Safety & Supervision

  • All activities are supervised by trained staff.
  • Children must follow staff instructions at all times to ensure their safety and the safety of others.

4. Communication

  • Please ensure we have your up-to-date emergency contact details at all times, and someone is able to collect children at short notice in an emergency or a child that is not respecting our behaviour and conduct policy.
  • If your contact information changes, notify us immediately.

5. Meals & Snacks

  • Lunch is provided for all children. If your child does not eat the provided meal, please send a packed lunch and let us know in advance, as the charity must cover the cost of meals.
  • An afternoon snack will be provided.
  • Please send your child with a refillable drinks bottle containing water for the afternoon.

6. Clothing & Equipment

  • Sports-type clothing is recommended.
  • We will be outside on the playing fields if the weather is dry.
  • Trainers or plimsolls are required for activities. 
  • Inappropriate clothing and footwear will result in the child(ren) unable to attend camp.

7. Daily Session Content

Activities include:

  • Arts & Crafts
  • Les Mills Born to Move Exercises
  • Nutrition Games
  • Outdoor activities on the playground and field (weather permitting)
  • Games using either hoops, cones, balls, dancing & skipping workshops

8. Collection of Children

  • Collection time is 5:00 pm.
  • Please ensure you have your collection password ready.
  • If you have not already provided a password, you must set one when you drop off your child.
  • For safety reasons, children will only be released to an authorised adult who can provide the correct password.
  • If you are going to be late, please call and inform us and arrange someone to collect along with the required password.

9. Agreement

By enrolling your child in our camp, you acknowledge that you have read, understood, and agreed to these Camp Terms & Conditions.
